Partners

A partner is a company or a person you do business with — customer, supplier, or both. It carries addresses, tax identifiers, payment terms, currency and the documents that mention it.

Contacts

A contact is a person at a partner: a name, a role, an email, a phone. Mail sent through the platform goes to contacts, and the customer portal signs them in.

A customer is never a member of your organization

A portal user is a third kind of identity, deliberately separate from your staff accounts. They see their own documents and nothing else — not your back office, not your ERP, not another customer's anything.

Leads and the pipeline

A lead is an opportunity: who, what, how much, how likely. Leads move through stages you define, and the board shows them as columns you drag between.

Lost reasons are a vocabulary, not a text box. A pipeline that reports "why we lose" is worth having; one where everybody typed something different is not.

From enquiry to lead

A public form can create a lead directly, so an enquiry from the website arrives in the pipeline rather than in somebody's inbox.

Activities and notes

Every partner, contact and lead carries its trail: what happened, when, and the notes explaining why. Mail sent to a contact appears there too.
